How does the shared booking calendar work?

Your calendar shows every date with its status. Open a date to see requests, approve a band, and add them to the bill. Everyone with venue access sees the same state, so two bookers won't keep double-promising a Friday.

• Toggle dates open or closed directly on the calendar, or use the list view
• Recurring weekly closures are set once as venue-wide weekday rules, not date by date
• Approve or decline booking requests from the date itself, with automatic emails to bands
• Build multi-band bills by selecting from approved bands

Who on my staff can do what?

Three roles. Owners run the venue, including settings and integrations, and book every gig. Hosts manage open mic and jam sessions. Members have limited access to join open mics and jams. Invites are sent as reusable codes for a role, so onboarding a new booker takes one link.

Does approving a request automatically create the show?

No, and deliberately. Approving a booking request tells the band yes; you then create the gig when you are ready, so an approval never publishes a half-finished event to your calendar.

What happens after a band is booked?

Create a gig page for the show and the advance runs there — set times, backline, bios, photos, stage plots and guest lists all collected from the bands rather than chased by email. Automatic email notifications keep the line-up notified and drive collaboration.

Common questions

Is BANDANA's venue booking calendar free?

Yes. The booking calendar, request review, bills, and gig pages are free for venues.

Can multiple staff members use the same calendar?

Yes. Invite staff as owners, hosts, or members using reusable role invite codes. Everyone works from the same calendar.

Can I stop taking booking requests entirely?

Yes. Turning booking off in your Info tab hides the booking surface for your venue.
